As the Agency Resource Manager for BDB USA, you will play a critical role in ensuring the smooth operation of our Creative, Strategy, Design, Production and Data departments. You will be responsible for developing and streamlining workflows, fostering a productive work environment, and ensuring that all BDB projects are staffed with the right talent to deliver high-quality work on time and within budget.
This position sits cross-functionally at the intersection of all departments at our agency. You will be responsible for overseeing the efficiency, timeliness and prioritization of all projects at the agency going through these teams. This role is about proactively anticipating and evaluating the bandwidth of team members against existing and new projects all while in motion.
The successful candidate for this position will be a seasoned communicator, a process fanatic, and a creative problem solver with an eye for ensuring quality output. The Agency Resource Manager will bring flexibility, agility, empathy and dedication to their work every day.
ROLES & RESPONSIBILITIES
Resource Management - Creative, Strategy, Production and Data teams
Be the central point of contact for resource needs and requests across all existing clients, projects and new business opportunities, gathering key information to inform resource needs
Manage and improve upon agency workflows through Creative, Strategy, Production & Data teams across multiple clients, campaigns and internal projects.
Work closely with team leadership to identify and allocate resources needed to fulfill projects and help manage a pool of staff, and contractors to match talent to the work. Holistically understand the skillset and bandwidth of each team member.
Identify any potential causes of delay early, and act to resolve any issues and help teams troubleshoot where necessary
Manage and prioritise intake of new projects, resource requests and new business opportunities through forms, tools, trackers, communication channels and standing meetings.
Lead evolution of existing resource request process and resource tracking systems to help establish a strong process, holistic view of active work and resource forecasts.
Administer best practices in project management, including compliance with work orders and creative briefs and quality assurance
Set projects up for success by collaborating with cross-functional teams, including new business, client services, marketing, and production to manage expectations withover-communication to make sure everyone is on the same page.
Set up Project Kick Off’s and Briefings with department heads to confirm staffing plans & resource allocations
Manage internal Marketing & PR teams with non-billable requests
Ensure close collaboration with BDB UK Resource and PM teams on global needs.
Continuously seek to improve systems, processes and online tools that enhance the smooth flow of work throughout the creative team and to optimise creative output
Champion the integration of project management functionality into the business.
Stay informed about industry trends, emerging technologies - continuously seeking opportunities for innovation and improvement.
Freelance Resource Management
Management of contractor database. Help identify, source and contract. Maintain relationships and build freelance roster.
Work with freelancer and contractors and ensure they have the resources needed for their projects
Identify Freelance need; work with the Finance and People team to recruit and contract. Ensure they have the resources and tools needed for their jobs
Ensure timely and accurate timesheet tracking and approvals of all creative, strategy, design and data freelancers
Requirements
7+ years of project or resource management experience at a creative agency.
Deep understanding of project management methodologies and processes, including timeline management, estimating, staffing and resource allocation.
Exceptional Organizational Skills: Ability to manage numerous moving parts, deadlines, and stakeholders simultaneously with meticulous attention to detail.
Excellent Communication & Interpersonal Skills: Proven ability to negotiate effectively, communicate complex staffing decisions clearly, and build strong, trusting relationships with staff and senior leaders.
Strategic & Problem-Solving Mindset: The ability to see the "big picture" of the agency/brand pipeline while troubleshooting daily resource conflicts and proactively developing solutions.
Initiative, communication and time management skills to consult stakeholders, juggle multiple projects and prioritise requests.
Constantly looking at ways to improve processes and efficiency and have implemented process change within an agency environment.
