The HSE Administrator is responsible for providing administrative support to the Health, Safety, and Environmental (HSE) department. This role involves managing HSE documentation, maintaining records, coordinating training sessions, and ensuring compliance with HSE policies and regulations. The HSE Administrator works closely with the HSE team to facilitate the smooth operation of HSE activities and supports the implementation of safety programs across the organization.

Requirements

  • Maintain and update HSE records, including training logs, incident reports, safety audits, and compliance documents.
  • Assist in the preparation of HSE reports, presentations, and performance metrics for management review.
  • Coordinate HSE training sessions, workshops, and meetings, including scheduling, logistics, and attendance tracking.
  • Manage the document control system for HSE procedures, policies, and guidelines, ensuring all documents are current and accessible.
  • Support the incident reporting process by collecting data, maintaining logs, and ensuring timely documentation.
  • Support in the filing of workman’s comp cases.
  • Assist in the coordination of internal and external HSE audits, inspections, and site visits.
  • Provide administrative support for HSE initiatives, including data entry, filing, and maintaining an organized HSE database.
  • Communicate with project managers , contractors, and suppliers to ensure compliance with HSE requirements.
  • Manage personal protective equipment (PPE) inventory, orders, and distribution to employees and contractors.
  • Manage uniform disbursement program to employees.

  • Ability to interpret and converse knowledgeably with regards to OSHA recordkeeping regulations.
  • Strong leadership & interpersonal skills.
  • Team player.
  • Conflict resolution skills and problem-solving ability.
  • Computer skills that would facilitate interaction with both internal and external computer systems as well as an above average skillset with Microsoft Office.

Required Experience & Education

  • Minimum 1-2 years of experience in an HSE administrative role, preferably in the oil and gas, construction, or manufacturing industries.
  • High School Diploma or General Education Degree (GED) required.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.
